Head of Operations will manage the finances, administration and day-to-day operational running of an Artists’ Studio Complex with 50+ members sharing 36 studio spaces within Trongate 103, Glasgow. The successful applicant being responsible for the charity’s finances, must meet the HMRC’s ‘Fit and Proper Person Test’ and liaise with the Board of Directors over financial matters. Applicants must be registered as self-employed (or be willing to register).

Contract type: Freelance, part time, until 30/06/2023 (following annual financial review of funding and satisfactory assessment of services rendered, renewal of contract for services is hoped to be offered on 1st July each year)

Working pattern: based on 20 hours per week (due to nature of work, some weeks may involve more hours and some less, but the average, over the weeks, should be 20 hours)

Remuneration: £12,000 to £14,280 per annum (based on 20 hours per week) depending upon experience. Any successful candidate must be registered as self-employed with HMRC as they will be responsible for their own NI, TAX and pension contributions and there is also no sick pay, holiday pay or maternity cover provision from the organisation. There is no over-time available, so the ability to complete all work within the allocated time is a must (1040 hours per annum).

Place of work: Head of Operations will be required to work on-location at T103 for specific parts of the role as outlined in the Job Description, however can choose to undertake some aspects of the role off-site using their own equipment (no WFH payments are available from the organisation to cover costs for this choice, but can be incorporated into your self-employment tax return).

Start date: ASAP (negotiable)

Duties of the position include:

• Being responsible for the charity’s accounts and filing annual returns with OSCR and Companies House as well as the day-to-day administration of the organisation and liaising with the organisation’s external accountants.
• Attending Board Meetings with Directors.
• Being the main contact for the organisation and liaising with other committees, both internal to the organisation (e.g. Studio Managers & Glasgow Project Room) and external (e.g., representing the organisation at Trongate 103 Tenants’ Group meetings and all liaisons and communications with the Landlord, utility suppliers, service providers and stakeholders).
• Ensuring the organisation is compliant with H&S, e.g., PAT tests, Fire Risk Assessments, etc.
• Alongside our volunteer Studio Managers, ensure Studio Handbook rules are adhered to and encourage a positive creative space for all members.

Required qualifications/experience:

• Experience in Administration, Finance and/or Management
• Must fulfil HMRC’s Fit and Proper Person Test https://www.gov.uk/government/publications/charities-fit-and-proper-persons-test/guidance-on-the-fit-and-proper-persons-test
• Fantastic skills in self-management, time-management and self-motivation. You will organise your own time to successfully undertake all tasks required of the role and respond to any emergencies as they arise.
• Must be registered self-employed as you are required to provide monthly invoices in order to be paid for your services.

Although training will be given, the Board of Directors is open to better ways of working.
